Members & Roles
An organization is the container for your projects, billing, and team. Everyone you invite joins with one of four roles that decide what they can see and change. This page covers how to invite people, what each role can do, and how to change or remove members.
Before you start
Section titled “Before you start”- You need to be the owner or an admin to invite, remove, or change members.
- Seats are limited by your plan. When you’re at the seat limit, the Invite Member button opens an upgrade prompt instead of the invite form. See Plans & entitlements for per-tier seat counts.
The four roles
Section titled “The four roles”| Role | What it’s for |
|---|---|
| Owner | The person who created the organization (or received it via ownership transfer). Full control, including billing and deletion. One owner at a time. |
| Admin | Runs the team day to day — manages members and organization settings — but has no access to billing or destructive actions. |
| Member | Works in projects: creates and edits listings, runs audits, and publishes. No access to organization administration. |
| Viewer | Read-only. Can open projects and read audits but can’t edit, run, or publish anything. |
Role × page access
Section titled “Role × page access”Which organization pages a role can reach:
| Page | Owner | Admin | Member | Viewer |
|---|---|---|---|---|
| Projects | ✓ | ✓ | ✓ | ✓ (read-only) |
| Members | ✓ | ✓ | — | — |
| Settings | ✓ | ✓ | — | — |
| Billing | ✓ | — | — | — |
| Danger Zone | ✓ | — | — | — |
Members and viewers see only Projects in the organization menu. The difference between them is at the project level: a member can create, edit, run, and publish, while a viewer sees the same screens with every action disabled and a “Viewer role — ask an admin to make edits” tooltip on the controls they can’t use.
Invite a member
Section titled “Invite a member”1. Open the invite form
Section titled “1. Open the invite form”On the Members page, click Invite Member. If your organization is at its seat limit, this opens an upgrade prompt instead — add a seat by moving to a plan with more seats (see Plans & entitlements).
2. Fill in their details
Section titled “2. Fill in their details”Enter the person’s First Name, Last Name, and Email Address. First and last name are optional; email is required.
3. Choose a role
Section titled “3. Choose a role”Pick Member, Admin, or Viewer from the Role dropdown. You can’t invite someone directly as owner — ownership moves through the transfer flow in Organization settings, not through an invite.
4. Send it
Section titled “4. Send it”Click Send Invite. The person receives an email invitation to join your organization in the role you chose. Until they accept, they appear under Pending Invitations with their email, invite date, and role.
Verify it worked
Section titled “Verify it worked”- The new invitation shows under Pending Invitations on the Members page.
- Pending invitations count against your seat usage, so the seat total reflects the invite immediately — not only once the person accepts.
- After the person accepts, they move into the Members table with their name, email, role, and join date.
Change a member’s role
Section titled “Change a member’s role”On the Members table, use the role dropdown in a member’s row to switch them between Admin, Member, and Viewer. The change applies immediately.
The owner’s row shows a fixed Owner badge with no dropdown — you can’t change the owner’s role here. Handing the organization to someone else happens through Organization settings — note that ownership transfer is coming soon, so for now contact support to change the account owner.
Remove a member
Section titled “Remove a member”Click the trash icon in a member’s row and confirm Remove. They lose access right away.
You can’t remove the owner, and you can’t remove yourself — if you’re the owner and want to leave, the organization needs a new owner first (ownership transfer is coming soon; contact support in the meantime).
Troubleshooting
Section titled “Troubleshooting”The Invite Member button opens an upgrade prompt instead of the form
Section titled “The Invite Member button opens an upgrade prompt instead of the form”You’ve reached your plan’s seat limit, counting both current members and pending invitations. Either remove a pending invitation or a member to free a seat, or move to a plan with more seats. Seat counts per tier are in Plans & entitlements.
I invited someone but they’re not in the Members table
Section titled “I invited someone but they’re not in the Members table”They haven’t accepted yet. Check Pending Invitations — they stay there until they click the link in the invitation email. If the invite has expired, send a new one.
An admin says they can’t open Billing
Section titled “An admin says they can’t open Billing”That’s expected. Billing is owner-only. Admins manage members and settings, but the plan, payment, invoices, and cancellation are reserved for the owner. If the admin needs to make a billing change, either the owner makes it or ownership is transferred.
